Part-time Administrative Assistant Position

The Niagara Board of Trade and Commerce (NBOTAC) is looking for a reliable, detail-oriented Administrative Assistant to help keep our organization running smoothly.

This part-time, in-office role is ideal for someone who enjoys variety, working with people, and being at the centre of a busy, community-focused organization. You’ll support daily operations, assist with member communications and events, and work closely with the Board Chair and directors to ensure our members are well served.

Job Description:

Job Title: Administrative Assistant

Reports To: NBOTAC Board Chair

Location: In Office

Target Start Date: 3 March 2026

Term & Salary: Permanent part-time; In Office; 15-20 hours per week at the Niagara Living Wage rate (currently $21.40/hour); evenings and weekends occasionally required. NBOTAC offers a comprehensive benefits package to permanent employees following successful completion of a probationary period.

Position Overview:

The Administrative Assistant provides essential clerical and administrative support to ensure smooth daily operations at the Niagara Board of Trade and Commerce (“NBOTAC”). This role involves managing communications (verbal, written and digital), maintaining records and bookkeeping duties, Member customer service, and supporting board members to achieve organizational goals efficiently.

Key Responsibilities:

•  Clerical:

•  Maintain accurate physical and electronic filing systems.

•  Prepare agendas and reports, record meeting minutes, and follow up on action items.

•  Create content, monitor and respond to emails and digital communication platforms; assist with content creation and maintenance of NBOTAC website.

•  Coordinate calendars, schedule meetings, and organize events.

•  Answer and direct phone calls; manage messages and inquiries.

•  Order and manage office supplies and resources.

•  Receive, sort, and reply to mailed correspondence as required.

•  Perform general clerical tasks (mailing, scanning, photocopying, printing).

•  Support additional administrative tasks as required.

•  Financial:

•  Process invoices, payments, and receipts.

•  Bookkeeping duties as assigned

•  Customer Service:

•  Greet and assist visitors and clients professionally; Attend and assist with Member events.

•  Create content and manage Member communications (newsletters, eblasts).

•  Create, update and track Member event schedules as needed.

Qualifications:

•  High school diploma or GED required; Degree in Business Administration preferred.

•  Minimum of 1-2 years in an administrative role.

•  Proficiency in Microsoft Office Suite and collaboration tools (e.g. QuickBooks -QB online preferred, Zoho, Zoom, Adobe).

•  Strong data entry and keyboarding skills; familiarity with office equipment.
